KB Title: eSchool: Pre-Registration for Administrative Assistants (Explore
Pre-Registration)
Background: Administrative Assistants process pre-registration for students after
parents submit the pre-registration enrollment through ConnectSPS. This document
outlines the steps needed to pre-register students in eSchool for Explore (summer
school) ONLY.
This KB is for Explore (summer school) registration ONLY.
Solution/Details:
1. Each day the eSchool team will send an email to Adminstrative Assistants
letting them know which students they need to finalize pre-registration for.
2. Note: AAs should only complete pre-registration for the students that are
included on the email from the eSchool team.
3. Log into eSchool and use the Quick Search bar type “enrollment” and
choose “Enrollment Application Approval” from the drop down menu.
4. On the Enrollment Application Approval screen in the Last Name search
type in the last name of the student you received an email for.
5. Click on “Edit” under the “Actions” section for the student.
6. If the “Possible Matches” box appears that indicates that the student is
already enrolled in SPS and you will need to click on that box to attach this
pre-registration to the student in SPS.
7. If you verify that this student is a match make sure you check the box next to
This is the same student” and click on “Save” at the bottom of the screen
before proceeding.
8. If no box appears this student is new to the district and you may proceed
with the next steps.
9. In the “Student Information” section check that the student’s grade aligns
with their “Birth Date”. If you make any changes to this section (or any
section of the pre-registration make sure you click on “Save” at the bottom
of the section you changed.
10. Note: If the application is for a next year Kindergarten student please select
PK” as the current year grade level.
11. Scroll down to the “Building” section and choose “Private/Parochial” school
from the drop-down menu. The building number is 700 Private Parochial.
12. Verify that the Entry Year is correct and change it if needed.
13. Use the Entry Type drop-down menu to choose “P - Pre-register”.
14. Change Entry Code to “Summer Entry
a. NOTE: If re-enrolling a prior student you might have to use “REC” for
the Entry Code
15. In the Entry Date box be sure to enter the last day of the current school year.
16. Click “Save” to save your changes in this section.
